Yote Work Program

The College of Idaho's YOTE Work Program is an opportunity for students to not only obtain funding to support their college career but also gain valuable, hands-on experience under the careful supervision of an experienced professional and a chance to build their resume and network. A work program position, which is funded either through federal work-study funds, state work-study funds, institutional work-study funds, or grant funding. College of Idaho departments interested in hiring a student into work program positions must complete the following steps:

1. For all work program positions, other than grant-funded positions, use the Job Description template to describe the skills and qualifications needed, the main duties or responsibilities of the position, and the learning outcomes/skills to be learned within the position.
2. Send your completed description to Human Resources for review and HR placement of the position in the appropriate wage tier.
3. Once your position is approved by HR and you have been provided hourly rate-of-pay, post your position via Handshake.
4. If you do not already have access to Handshake to post on-campus positions, contact careerservices@collegeofidaho.edu to request access and then post your position.
5. Review applications in a timely manner and interview qualified candidates.
6. Make your selection and communicate your offer to the selected student(s).
7. Once your selected student(s) has accepted your offer, complete and submit a Student Hire Notification form for each student hired to the HR department.
8. Be respectful of your student applicants and communicate to those not selected that the position has been filled and remove the posting from Handshake.
9. For grant-funded positions (or a position funded by a grant, donation, or award/scholarship), complete the selection process pursuant to the terms of the grant/donation/award/scholarship description. If however, you elect to use Handshake as your selection mechanism, you will need to provide the HR department a copy of the description prior to posting your position and then complete steps 5 - 8 listed above.

Our goal is to have the employment process run smoothly and efficiently for each supervisor and student employee. This process starts with giving supervisors the help, support, and resources they need.

1. Don’t forget to check out HR Resources – https://cofi.instructure.com/courses/2650 – which provide access to all the training and documentation necessary to hire a student.
2. Student employees cannot begin working until they have completed the entire employment process (i.e. secured a social security number, if relevant, and completed all HR paperwork. Not just the notification form. HR will confirm once the student is entered and eligible to begin work.
3. Per College policy and federal regulations, student employees may not work more than 20 hours per week total when classes are in session. This includes a combination of all work program positions. During scheduled school breaks, which for the College includes its fall break, winter break, spring break, and summer break, students are permitted to work a maximum of 40 hours per week.
4. Scheduled hours are determined by department budgets, financial award amounts, and federal regulations. Students in positions funded by federal or state work-study funds may not work on a College holiday and may not work during any College closures, including inclement weather days.
5. Supervisors and students have a shared responsibility for timely completion and approval of monthly timesheets for payroll purposes. For guidance in this area, please contact the Business Office or Human Resources.
